7. NEWSROOM

WHAT IT IS: A means of publishing short (Messages of the Day) or long (News Items) articles that will show up on all members' My Desktop.

HOW TO GET THERE: Click on Newsroom on My Desktop (Figure 7-1) or the Newsroom tab in the menu bar (Figure 7-2).

HOW IT WORKS: Messages of the Day and News Items are shown on My Desktop and linked to the full message or article. Members can read Messages of the Day and News Items, but only root users and administrators can create and publish them.

7.1 Reading Messages of the Day and News Items

To read a Message of the Day or a News Item from My Desktop, click on its headline (Figure 7-3) to display the full text (Figure 7-4).

NOTE: You'll receive an email whenever a Message of the Day or News Item is published. It you'd prefer not receive these emails, click on (Stop notifying by email).

You can also read Messages of the Day and News Items in the Newsroom (see HOW TO GET THERE, above). Click on +read more (Figure 7-5) to read the full text of a News Item or Message of the Day and click on +View older Items in the Archive to view archived News Items (Messages of the Day aren't archived).

7.2 Newsroom: Root User and Administrator Functions

7.2.1 Create News Item

To create a News Item:

  1. From the main Newsroom screen, click on Create News Item (Figure 7-6).

  3. The Create News Item screen (Figure 7-7) allows you to create and publish a News Item. The text editor is the same as the one used to create About Us and is discussed in Section 3. Table 7-1 lists the options on the Create News Items screen.

Publish this News Item? NO/YES

NO will store this News Item as an Unpublished News Item. It will not be displayed on My Desktop.

YES will store this News Item as a Current News Item. It will be displayed on My Desktop.

Start Publish Date

This is the first day that the News Item will be shown on My Desktop. Enter the date in the text boxes or click on Select Date to select the date from a calendar.

End Publish Date

This is the last day that the News Item will be shown on My Desktop. The default is 30 days after the Start Publish Date. You can change this date by entering a new date in the text boxes or clicking on Select Date and selecting the End Publish Date from a calendar. After the End Publish Date, the News Item is automatically stored in the News Archive.

Type of News Item

You cannot change this item. It will automatically display News Item for a News Item and Message of the Day for a Message of the Day.

Title

Enter a Title (or headline) for this News Item

Author

Enter the Author's name

Attachment

To add an attachment to this News Item, click on Choose File and select the file to attach.

Send Notification no/yes

No will not email this News Item (and its attachment) to all Members of the Web Group.

Yes will email this News Item (and its attachment) to all Members or the Web Group, even if the have requested not to be notified (see paragraph 7.1).

Text Editor

The text editor is the same one that is used to create and edit About Us and is discussed in Section 3.

Submit

If Publish this News Item is set to NO: Submit will save this News Item as an Unpublished News Item that will not be displayed on My Desktop. You can publish this item at a later date.

If Publish this News Item is set to YES: Submit will save this News Item as either a Current News Item that is displayed on My Desktop or an Unpublished News Item that will not be displayed on My Desktop until the Start Publish date.

7.2.2 Create Message of the Day

Creating a Message of the Day is the same as creating a News Item except for the following:

  1. On the main Newsroom screen, click on Create Message of the Day.
  2. On the create screen (Figure 7-7), the default End Publish Date is one day from the Start Publish Date and the Type of News Item is Message of the Day.
  3. Messages of the Day are not archived. After their End Publish Date, they are automatically deleted.
  4. When you click on Submit, the Message of the Day is stored as follows:

7.2.3 Publishing an Unpublished News Item or Message of the Day.

To publish an unpublished News Item or Message of the Day:

  1. From the Newsroom screen, click on the appropriate (edit) link (either Unpublished News Item or Unpublished Message of the Day) (Figure 7-8).

  3. Set the Publish this News Item drop-down menu to YES (Figure 7-9). If necessary, change the Start Publish Date and End Publish Date.

  5. Click on Submit to publish this News Item or Message of the Day.

7.2.4 Deleting an Unpublished News Item or Message of the Day.

To delete an unpublished News Item or Message of the Day:

  1. From the Newsroom screen, click on the appropriate (delete) link (either Unpublished News Item or Unpublished Message of the Day) (Figure 7-10).

  3. You'll be asked to confirm the deletion (Figure 7-11). Click OK to delete the News Item or Message of the Day, or Cancel to close the confirmation pop-up without deleting the News Item or Message of the Day.
