5.1 Calendar

WHAT IT IS: A place to post one-time and repeating events (such as meetings and vacations). Keep in mind that the calendar is public, and any event you post will be seen by all members of the web group.

HOW TO GET THERE: Click on Calendar or (expand calendar) on My Desktop (Figure 5-4), or select Calendars from the Resources drop-down menu (Figure 5-5).

5.1.1 Changing the Default Calendar View

The default calendar view shows the full month, but you can change this to show one week at a time or one day at a time by clicking on the week or day links embedded in the dark blue bar across the top of the screen (Figures 5-6 through 5-8).

5.1.2 Filtering the Information Shown on the Calendar

You can apply filters to reduce the amount and type of information shown on the calendar.

To view only certain kinds of events:

  1. Click on View and select the type of event you want to view from the drop-down menu (Figure 5-9, top).
  2. Click on apply filter.

To view only events posted by a specific member:

  1. Click on posted by and select a name from the drop-down menu (Figure 5-9, bottom).
  2. Click on apply filter.

You can select from both menus then click on apply filter to view only events meeting both criteria.

5.1.3 Adding and Editing Events

All members can add events to the calendar or edit existing events, including those posted by other members. To add an event to the calendar:

  1. Click on (add event) in the Calendar module on My Desktop (Figure 5-10) or the (+) sign next to the date (Figure 5-11) to open the add event pop-up window (Figure 5-12).
  2. Enter the information, then click on Save.

NOTE: You can also add an event to the calendar as follows:

  1. Click on a specific date to open the single-day calendar view.
  2. Click on a specific time to open the add event pop-up window (Figure 5-12).
  3. Enter the information, then click on Save.

To edit an existing event:

  1. Click on the event name to open the change event pop-up window (Figure 5-13).
  2. Make the changes, then click on Save. Click Cancel to close the window without making any changes, and click delete to remove the event from the calendar. NOTE: If the event is a repeating event, delete will only remove this occurrence.

5.1.4 Root User and Administrator Functions: Adding and Removing Event Types and Calendars

Root users and administrators can add and remove event types and calendars.

To add an event type:

  1. Click on (edit event types) (Figure 5-14).

  3. Enter the New Event Type on the calendar event types pop-up window (Figure 5-15) and click on Save.
  4. Use your browser to close the calendar event types pop-up window.

  6. The new event type is now available for all members to select (Figure 5-16).

To edit or remove an event type:

  1. Click on (edit event types) (Figure 5-14).
  2. Click on the event type and use the text box to change its name or click on delete to remove the event (Figure 5-17).

  4. Use your browser to close the calendar event types pop-up window.

NOTE: Deleting an event type removes the event type from the add event pop-up window and the View drop-down menu, but does not remove events of that type from the calendar.

To add a calendar:

  1. Click on (Edit Calendars) (Figure 5-18).

  3. Enter the calendar name on the Create and Edit Group Calendars pop-up window (Figure 5-19) and click on Save.
  4. Use your browser to close the Create and Edit Group Calendars pop-up window.

  6. The new calendar can be selected from the Calendar drop-down menu (Figure 5-20) and all members will be able to add events to the new calendar.

To edit a calendar name:

  1. Click on (Edit Calendars) (Figure 5-18).
  2. Click on edit and use the text box to change the calendar's name (Figure 5-21).
  3. Click on Save to change the calendar's name or Cancel to leave the name unchanged.
  4. Use your browser to close the Create and Edit Group Calendars pop-up window.

To delete a calendar:

  1. Select the calendar name using the Calendar drop-down menu (Figure 5-20), then click on (Edit Calendars) (Figure 5-18).
  2. Click on delete. You'll be asked to confirm the deletion. Click on OK.
  3. Once again you'll be asked to confirm the deletion. Click on OK to delete the calendar.
  4. Use your browser to close the Create and Edit Group Calendars pop-up window.

NOTE: Deleting a calendar also deletes all events posted to that calendar. There is no way to recover these events after the calendar is deleted.

NOTE: You cannot delete the Main calendar.
